Shipping & Returns

Shipping Policy

Shipping Details

  1. We ship brand new genuine HVAC/R parts worldwide from our own warehouse.
  2. Our shipping days are Monday to Friday, using UPS or freight services.
  3. UPS transit times are applicable during business days only.
  4. If you require Saturday delivery or prefer to ship using your own shipping account, please call us at (734) 326-3900.
  5. Duties and customs charges are not included for international shipments.
  6. Orders placed after 2:00 PM Eastern Standard Time will be processed the following morning. For urgent orders, please contact our parts specialists at (734) 326-3900 to inquire about availability.

Delivery Responsibility

  1. We are not responsible for delivery delays once the order has been shipped.
  2. Please note that UPS does not refund shipping delays caused by weather conditions, civil unrest, or acts of God.

Supply Chain Issues

  1. Due to unprecedented supply chain challenges in the HVAC/R repair part industry, there may be occasional delays in order fulfillment.
  2. In such cases, we will promptly notify you of any unexpected wait times to manage your expectations.

Returns

Return Authorization

Before returning any item purchased through Technical Hot & Cold Parts, you must contact us for a return authorization at (734) 326-3900. Please obtain the return authorization before sending back the item.

Packaging and Return Address

  1. When returning an item, ensure that it is properly packaged.
  2. Include a copy of the invoice and provide the full model and serial number and/or commission number of the unit.
  3. Ship the item to:

Return Policy

  1. If the return is due to an error on the part of Technical Hot & Cold Parts, we will cover the return shipping costs.
  2. Please note that returned items will be inspected to determine whether they have been installed.
  3. Items that show evidence of being installed, such as screw marks, marks on electrical spade terminals, or set-screw marks on motor shafts, will not be eligible for a refund.
  4. Refunds will not be issued for items returned with missing components.
  5. The returned item must be in its original packaging, in resalable condition, and accompanied by a copy of the original invoice. Please avoid damaging the part number label on the box (e.g., do not place tape over the part number).
  6. Special order items are non-returnable and non-refundable.
  7. Parts returned that are found to be ineligible for a return (e.g., used, installed, or not in resalable condition) will also be shipped back to you free of charge.

Warranties

Return Authorization

Warranty Details

  1. All new items purchased through Technical Hot & Cold Parts come with a one-year factory warranty.
  2. The cost of shipping the failed part to Technical Hot & Cold Parts and the cost of shipping the new replacement part to the customer will not be reimbursed.
  3. No refund will be issued for items returned for warranty if they test as good. The cost of shipping these parts back to the customer and returning them to Technical Hot & Cold Parts will not be reimbursed.
  4. To process warranties, we require the model and serial number from the unit on which the part is being installed. The part must be an OEM replacement for that unit.
  5. The part must be the manufacturer-recommended replacement for the unit and used for its intended application to be eligible for warranty. Parts used in the incorrect unit, abused, or used outside their intended application will not be eligible for warranty. Please note that maintenance items (e.g., filters, fuses, lamps, etc.) are not eligible for warranty.

Damaged Shipments

In the unfortunate event that your shipment arrives damaged, please follow the steps below:

  1. Immediately upon receiving the damaged shipment, take clear pictures of the package and the damaged items. All damage claims must be reported within 30 days of delivery to ensure that we can process a claim with UPS. After 30 days, we may not be able to file a claim, and replacements or refunds may not be possible.
  2. Contact us as soon as possible by calling (734) 326-3900 or emailing parts@technicalhotandcold.com to report the damage. Please provide your order number and a description of the damage.
  3. We will instruct you to place the damaged items back in the original box for return.
  4. Once notified, we will file a damaged package claim with UPS on your behalf, in accordance with their terms and conditions.
  5. UPS will schedule a pickup of the damaged package at your location.
  6. If you require a replacement immediately, we can offer you the option to purchase a new item while the claim process is ongoing. Alternatively, you may choose to wait until UPS picks up the damaged package, and then we will send you a new replacement.

We understand the inconvenience caused by damaged shipments and will work diligently to resolve the issue as quickly as possible. By providing us with the necessary information and following the outlined steps, we can initiate the claim process and ensure a smooth resolution.

Errors

Our Error

  1. If you receive the wrong part due to our error, we will accept the return of the incorrect part for a full refund.
  2. If a model number is provided at checkout, we will confirm part fitment before shipping.
  3. If we send the incorrect part if a model number is provided, we will pay and arrange for the return shipment.
  4. We will cover the shipping costs for the replacement part sent to you.
  5. Any credit due will be applied to the original credit card used for the purchase.

Your Error

  1. If you order the wrong part, you may return the parts in their original packaging.
  2. Parts returned for restocking must have the shipping costs prepaid.
  3. We can provide a shipping label and the shipment cost will be deducted from the refund.
  4. To receive credit, returned parts must be in new and sellable condition, in their original packaging, and include all instructions and packaging material.
